Massapequa Public Schools in New York transforms their student registration process by moving paper packets online. The 7,300 student district partnered with InfoSnap, recipient of the PowerSchool ISV Integration Excellence Award, to implement a streamlined solution for new student registration and annual student demographic updates through seamless integration between InfoSnap and Massapequa’s student information system (SIS), PowerSchool.

“The paper-based registration process was very time-consuming for both our families and managerial staff. The distribution and collection of a 20 page form per student meant that a family new to our district with 3 students would be going through 60 sheets of paper. Partnering with InfoSnap modernizes our registration system and provides everyone with a higher level of efficiency,” states Bob Schilling, Executive Director for Assessment, Student Data, and Technology Services at Massapequa.

Families who have more than one child within the district can ‘snap’ data from one student to another. The use of SmartForm™ technology, an intuitive tool built into the solution, will collect relevant data based on previously entered information or choices (grade, activities, medical history, etc.).

“We just completed Kindergarten registration using our InfoSnap solution with great results. Our managerial personnel value the amount of time our solution saves them,” notes Margaret Colucci, Executive Assistant for Information Management at Massapequa. The District will also be using the InfoSnap solution to collect updated contact information from parents this spring.

“We’re dramatically reducing the possibility of data entry errors and will have access to up-to-date, accurate information on the first day of school. Additionally, it’s a convenience that people appreciate when you have electronic systems in place.” said Schilling.

The data submitted by families are reviewed, polished, and formatted to meet Massapequa’s policies and then delivered into PowerSchool. “The polishing component is so important for ensuring entries are consistent when entered into our databases. Something as simple as entering ‘St.’ instead of ‘Street’ can alter the performance of a database if it’s not caught and corrected. The polishing component takes care of this for us,” said Colucci.

The reporting and communication tools that InfoSnap provides will allow school administrators to create reports and identify records that meet certain criteria. “Results from our home language questionnaire will be sent to our local chair and health history information, to our nurses.
